E-invoice 30-Day Limit and E-way Bill Rules: What Traders Must Know
ई-इनवॉइस 30 दिन की सीमा और ई-वे बिल के नए नियम: व्यापारियों के लिए
Who must issue e-invoices, the 30-day reporting limit for turnover of Rs 10 crore and above, e-way bill 180-day document rule, 360-day extension cap and MFA login.
E-invoice and e-way bill mistakes are easy to make and hard to undo: the portal does not accept late or old documents. These are the rules that matter in daily billing.
E-invoice
| Rule | What it means |
|---|---|
| Who must issue | Businesses whose aggregate turnover crossed Rs 5 crore in any financial year from 2017-18, for B2B sales, exports and their credit / debit notes. Some sectors (banks, insurance, GTA, passenger transport, SEZ units and others) are exempt. |
| 30-day reporting limit | If your turnover is Rs 10 crore or more, an invoice, credit note or debit note older than 30 days cannot be reported to the IRP. Applied from 1 April 2025 (from 1 November 2023 for Rs 100 crore and above). |
| Without an IRN | A B2B invoice without IRN is not a valid invoice; the buyer may lose ITC and you may face penalty. |
| Cancelling | An IRN can be cancelled only within 24 hours and only in full. After that, issue a credit note. |
| Returns | E-invoice data flows into GSTR-1 automatically; check it before filing, do not enter it twice. |
E-way bill
| Rule | What it means |
|---|---|
| When needed | For movement of goods above Rs 50,000 consignment value; limits for movement within a state differ by state. |
| Validity | One day for every 200 km for normal cargo (20 km for over-dimensional cargo). |
| 180-day document rule | From 1 January 2025 an e-way bill can be made only for a bill or challan dated within the last 180 days. |
| Extension cap | An e-way bill can be extended up to 360 days from its original generation, not beyond. |
| Multi-factor login | Username and password plus an OTP is compulsory for all users from 1 April 2025. |
| Cancel / reject | Cancel an unused e-way bill within 24 hours. The buyer can reject one within 72 hours. |
Good habits
- Generate the e-invoice when you save the bill, not at month-end. BUSY can do it on save: e-invoice setup in BUSY.
- Generate the e-way bill from the same bill: e-way bill in BUSY.
- Keep party GSTIN, PIN code and distance correct in the master; most rejections come from these.
- Credit notes for returns or discounts: report them within the 30 days too.
- Once a month, match e-invoices and e-way bills with the sales register. Differences are a common reason for GST notices.
General information, not legal advice. GST and income-tax rules change often: check the latest notifications, circulars and GSTN advisories, and consult your CA or tax practitioner for your own case.
