How to Send Payment Reminders From BUSY With Bharat Narada Muni

A polite reminder on the right day brings money in faster than ten phone calls. With Bharat Narada Muni (BNM) connected to BUSY, the payment reminder BUSY prepares reaches the party's phone in the chat app they already use, with bill numbers, amounts and due dates, and every message is logged.

Before you start (one time)

1. Mobile numbers in party masters

   Open each customer account in BUSY and fill the mobile number. A reminder can only reach a party whose number is in the master.

2. Bill-by-bill outstanding with credit days

   Keep bill-by-bill references on for parties and set credit days, so BUSY knows which bills are due. See bill-by-bill outstanding in BUSY.

3. Register on Bharat Narada Muni

   Sign up on the BNM portal with your mobile number and one OTP; 100 messages or 5 days are free. Link your business number once by scanning the QR.

4. Connect BUSY

   Copy the API, user name and field names from the portal (each has a Copy button) into BUSY's message configuration screen under Administration > Configuration. Press Alt + Ctrl + V on that screen if the service provider option is hidden. The BNM page has a setup video and a PDF guide.

Send reminders from BUSY

1. Open the reminder

   Go to Print/Email/SMS > Outstanding Analysis > Payment Reminder and choose Due Bills.

2. Pick the parties

   One party, a party group (for example one area or one salesman), or all parties.

3. Set the date and format

   Choose the date range and the reminder format; the reminder lists each due bill with date and amount.

4. Send

   Use the SMS / message option. BUSY passes the messages to Bharat Narada Muni, which delivers them to the parties' phones.

Menu names as given in BUSY's own help on busy.in; they can differ slightly by BUSY version, plan and configuration. Take a backup before changing settings.

Bulk reminders and follow-up

• Bulk from Excel: export the outstanding list, then import numbers and messages on the BNM portal and send in one go. With the optional Windows connector, parties can be read directly from the BUSY database.
• Message log: every reminder with time, party and status. Failed messages are retried automatically, so you know who received it.
• Bill on request: when a party says "send the bill again", resend the last bill PDF from the portal in one click.
• 24x7 self-service: with the BNM Chat Bot, a party writes 1 and gets the last bills, ledger or outstanding from BUSY, even at night.

A reminder schedule that works

Keep the tone polite and the facts exact: wrong amounts annoy good customers. Reconcile with the party's ledger first if there is any doubt (Bharat Darpan matches your ledger with the party's statement).

Why paying on time matters to both sides

• Your supplier-side ITC is safe only if you pay suppliers within 180 days; your customers face the same rule, so a reminder helps them too.
• Buyers must pay MSME suppliers within 45 days (or the agreed period, up to 45 days) to claim the expense in income tax. Check with the 43B(h) checker.
• If parties still pay late, calculate interest on overdue bills inside BUSY with Bharat Laxmi.
