Closing Stock in BUSY: Valuation Method, Physical Stock Count and Adjustments Before Year-End

BUSY में क्लोज़िंग स्टॉक: वैल्यूएशन मेथड, फिज़िकल स्टॉक मिलान और साल के अंत की जाँच

Get closing stock right in BUSY: FIFO, average and last purchase valuation, matching physical stock, shortage and excess entries, negative stock and year-end checks.

Closing stock decides your gross profit. Overstate it and you pay tax on profit you never made; understate it and the books, the bank's stock statement and the GST records stop agreeing. In BUSY, closing stock comes from your entries and the valuation method you choose, so getting it right is a mix of settings and discipline.

Valuation methods and when to use them

MethodHow stock is valuedSuits
FIFO (first in, first out)Remaining stock is valued at the latest purchase pricesMost traders and anything with batches or expiry; widely accepted by auditors
Weighted averageEach item at the average cost of all units boughtSteady prices, commodities, large volumes
Last purchase priceAt the most recent purchase rateQuick internal reports; check with your CA before using for the balance sheet
Cost or market value, whichever is lowerDamaged, slow or obsolete stock written downYear-end review of dead stock

Pick one method for the year and keep it. Changing the method between years changes profit and needs to be disclosed. Agree the method with your CA before finalising the accounts.

Why BUSY stock and the godown differ

  • Purchases or sales not entered, or entered in the wrong month
  • Wrong unit (box vs piece) or wrong conversion factor in the item master
  • Free goods, samples and replacements not recorded
  • Damaged, expired or stolen goods never written off
  • Stock moved between godowns without a transfer entry (godown transfer in BUSY)
  • Sales returns and purchase returns missed (credit and debit notes)

Physical stock match: step by step

  1. Freeze entries

Pick a count date and finish all purchases, sales, returns and transfers up to that date in BUSY.

  2. Print the count sheet

Print the item-wise stock report from BUSY, without quantities if you want a blind count, grouped by godown.

  3. Count

Count each godown, item by item, with two people. Note damaged and expired goods separately.

  4. Compare

Enter the counted quantities against BUSY's quantities and list the differences. Check big differences against the reasons above before adjusting anything.

  5. Adjust

Post the real shortages and excesses through BUSY's stock adjustment / physical stock entry, with a clear narration (damage, expiry, theft, counting difference). Keep the signed count sheets.

  6. Review value

Write down damaged or obsolete stock to realisable value, then print the closing stock value for the balance sheet.

GST and tax points

  • ITC on lost or destroyed goods: input tax credit on goods lost, stolen, destroyed, written off or given as free samples must be reversed (section 17(5)(h)). See blocked ITC examples.
  • Stock statements to the bank should match BUSY; large gaps raise questions during stock audits.
  • Tax audit: quantity details of principal items may be needed for the tax audit report, so keep units and opening quantities right all year.

Year-end checks in BUSY

  • No negative stock on the closing date. Negative stock means a purchase is missing or a sale is wrong.
  • Valuation method set as agreed and the same as last year.
  • Closing stock value in the stock report equals the value in the trading account and balance sheet.
  • Opening stock of the new year equals closing stock of the old year after carry forward (new financial year in BUSY).
  • Item-wise margins look sensible: item-wise profit in BUSY and Bharat Lekha Jokha for item, tax and HSN-wise trading and P&L.

FAQ

Which stock valuation method should I use in BUSY?

FIFO suits most traders and batch-wise stock; weighted average suits steady-price goods. Use one method consistently and agree it with your CA.

How do I correct a difference between BUSY stock and physical stock?

First check for missing purchases, sales, returns and transfers. Post only the genuine shortages or excesses through a stock adjustment / physical stock entry with a clear reason.

Why does BUSY show negative stock?

Usually a purchase was not entered, was entered after the sale date, or the unit conversion is wrong. Fix the cause before the year-end.

Do I need to reverse ITC on damaged or lost stock?

Yes. ITC on goods lost, stolen, destroyed, written off or given as free samples must be reversed under section 17(5)(h).

Can I change the stock valuation method?

It is possible, but it changes profit, must be disclosed and should be done only for a sound reason after advice from your CA.
