Amazon and Flipkart Sellers: How to Keep Accounts and GST Under Control With BUSY Recom

Amazon, Flipkart विक्रेताओं का अकाउंट और GST: BUSY Recom से आसान ऑर्डर अकाउंटिंग

Why accounting is hard for Amazon, Flipkart and Shopify sellers (settlements, fees, returns, TCS, TDS, multi-state stock) and how BUSY with BUSY Recom keeps books and GST right.

Selling on Amazon, Flipkart or your own Shopify store brings orders from all over India. It also brings an accounting problem most traders have never faced: hundreds of small orders, payouts that never equal the sale amount, returns that come back weeks later, fees on every order, and taxes deducted by the marketplace before you are paid. Many sellers know their sales but cannot say, order by order, whether they were fully paid.

This guide explains where e-commerce accounting goes wrong, what GST and income-tax rules apply, and how BUSY with BUSY Recom, BUSY's e-commerce reconciliation plug-in, brings orders, returns, fees and settlements into one set of books.

The big challenges for online sellers

ChallengeWhat happensWhat it costs you
VolumeHundreds or thousands of orders a month, each a separate saleManual entry is impossible; sellers post one lump figure and lose detail
Net payoutsThe marketplace pays sale value minus commission, shipping, fixed fees, TCS and TDS, in batchesBank receipts never match invoices; unpaid or short-paid orders go unnoticed
ReturnsCustomer returns and undelivered (RTO) parcels come back late, some damagedSales, stock and GST stay overstated if returns are not posted
Fees and their GSTCommission, shipping, storage and ads are billed by the marketplace with GSTExpenses missed, and ITC on those fees not claimed
TCS and TDSGST TCS and income-tax TDS are deducted from your payoutsCredit lost if not tracked and claimed
Many statesStock in marketplace warehouses in other statesEach such state needs GST registration or an additional place of business, and stock transfers between them
Payments on holdDisputes, claims and reserves hold back moneyReal outstanding is unknown

GST and tax rules every seller should know

  • Registration: selling goods through an e-commerce operator generally needs GST registration. Small sellers within one state have limited relief under notified conditions, so check your case with your CA.
  • GST TCS (section 52): the marketplace collects 0.5% of the net taxable value of your sales (0.25% CGST + 0.25% SGST, or 0.5% IGST) and reports it in its GSTR-8 by the 10th of the next month.
  • Claiming TCS: after GSTR-8 is filed, the credit appears on the GST portal (TCS and TDS credit received). Accept it there; it goes to your electronic cash ledger and can pay GST. Book TCS as a receivable, not an expense.
  • Income-tax TDS on payouts: marketplaces deduct 0.1% TDS on the gross sales they settle (section 194-O of the 1961 Act, continued under the Income-tax Act, 2025). Match it with Form 26AS / AIS and claim it in your return.
  • GSTR-1: report every sale, including those through the marketplace, with credit notes for returns. Supplies made through an e-commerce operator are also shown separately against the operator's GSTIN.
  • ITC on marketplace fees: commission, shipping and other fee invoices carry GST and appear in GSTR-2B; claim them like any other purchase.
  • E-way bills: needed for stock moved to marketplace warehouses above the value limit, even when it is not a sale.

Rates, limits and section numbers change from time to time. Check the latest notification or your CA before acting.

One order, many entries: an example

A customer pays Rs 1,180 for an item (Rs 1,000 + 18% GST). Figures below are an example only; real fees depend on the marketplace, category and your plan.

LineAmount (Rs)Where it goes in your books
Sale value (taxable 1,000 + GST 180)1,180.00Sale invoice to the customer; GST payable 180
Less: commission 150 + GST 27−177.00Marketplace fee expense 150; ITC 27
Less: shipping 60 + GST 10.80−70.80Shipping expense 60; ITC 10.80
Less: GST TCS 0.5% of 1,000−5.00TCS receivable (cash ledger after GSTR-8)
Less: income-tax TDS 0.1% of 1,180−1.18TDS receivable (claim in ITR)

Now multiply by every order in the month, add returns and refunds, and pay in weekly batches. That is why spreadsheets break down and why the payout must be matched order by order.

FAQ

What is BUSY Recom?

BUSY Recom is BUSY's e-commerce reconciliation plug-in. It brings Amazon, Flipkart and Shopify orders, returns and settlements into BUSY and matches payouts with orders, as described by BUSY on busy.in.

How much TCS does Amazon or Flipkart deduct under GST?

0.5% of the net taxable value of your sales under section 52 (0.25% CGST + 0.25% SGST, or 0.5% IGST). It appears on the GST portal after the marketplace files GSTR-8 and can be used to pay your GST.

Is TDS also deducted on e-commerce payouts?

Yes, income-tax TDS of 0.1% on the gross sales the marketplace settles (section 194-O of the 1961 Act, continued under the Income-tax Act, 2025). Claim it in your income-tax return after matching it with 26AS / AIS.

Why does my marketplace payout not match my sales?

Because the payout is net of commission, shipping and other fees with their GST, TCS, TDS, refunds and amounts on hold, and it is paid in batches. Order-wise reconciliation, as BUSY Recom does, shows what each order actually paid.

Can I claim GST on Amazon or Flipkart fees?

Yes. Marketplace fee invoices carry GST and show in GSTR-2B; book them as expenses and claim the ITC like any other purchase.

Do you set up BUSY Recom?

Yes. We supply BUSY and BUSY Recom, connect your marketplace accounts and train your staff online anywhere in India.
