How to Choose Eligible ITC With the Help of BUSY

BUSY की मदद से सही (पात्र) ITC कैसे चुनें: शर्तें, ब्लॉक्ड क्रेडिट और BUSY सेटिंग

Which input tax credit you can claim: section 16 conditions, blocked credit under section 17(5), Rules 37, 37A, 42 and 43, and how to mark ITC eligibility in BUSY so GSTR-3B is right.

Wrong input tax credit is the most common reason for GST demands. ITC is either eligible (claim it), blocked (never claim it), or to be reversed (claimed earlier but must be paid back). BUSY can sort every purchase into the right bucket at the time of entry, so GSTR-3B comes out right.

Step 1: The conditions for any ITC (section 16)

  • You hold a tax invoice or debit note from a registered supplier.
  • You have received the goods or services (goods in instalments: credit on the last lot).
  • The invoice appears in your GSTR-2B.
  • The supplier has actually paid the tax and filed GSTR-3B.
  • You pay the supplier within 180 days of the invoice date; otherwise reverse the ITC and reclaim it when you pay (Rule 37).
  • You claim it in time: by 30 November after the end of the financial year, or the date you file the annual return, whichever is earlier (section 16(4)).

Step 2: Keep out blocked credit (section 17(5))

Even with a proper bill and 2B entry, no ITC is allowed on:

  • Motor vehicles for up to 13 persons (including the driver), and their insurance, repair and servicing, unless you deal in vehicles, run passenger transport or a driving school
  • Food and beverages, outdoor catering, beauty treatment, health services, cosmetic surgery, life and health insurance (unless the law makes it compulsory for employees, or it is your own line of business)
  • Club, health and fitness centre membership; travel benefits to employees on leave or home travel
  • Works contract and goods or services for building immovable property on your own account (except plant and machinery), even if capitalised
  • Goods or services for personal use
  • Goods lost, stolen, destroyed, written off, or given away as gifts or free samples
  • Tax paid under composition, and tax paid on demands involving fraud, or on detention and seizure

Step 3: Reverse what must be reversed

SituationRuleWhat to do
Supplier not paid within 180 daysRule 37Reverse in GSTR-3B; reclaim when you pay. Use outstanding ageing in BUSY.
Supplier did not file GSTR-3B for that period by 30 September of the next yearRule 37AReverse by 30 November; reclaim when the supplier files.
Inputs used for exempt sales or personal use as wellRules 42, 43Reverse the share for exempt / non-business use every month; true up in the annual return.
Supplier issued a credit note, or you rejected a bill in IMSSection 16, IMSITC drops in GSTR-2B; reduce it in 3B too.

Step 4: Set it up in BUSY

  1. Mark ITC eligibility on every purchase

In purchase and expense vouchers BUSY has an ITC Eligibility field. Choose Input Goods/Services for normal stock and expenses, the capital goods option for machinery and assets, and the ineligible / none option for blocked items. The party's dealer type must be registered for ITC to count.

  2. Make blocked heads ineligible by default

Expense accounts such as staff welfare, refreshment, vehicle repairs for cars, gifts and club fees should be posted with ITC marked ineligible, so nobody claims them by mistake. Ask your BUSY partner to set the default in the account masters or voucher series.

  3. Keep party masters correct

GSTIN, state and registration type decide whether ITC is possible and whether it is IGST or CGST + SGST.

  4. Check before 3B

Display > GST Reports > GST Summary shows ITC by type for the month. Compare it with GSTR-2B; then open GSTR-3B eReturn (Display > GST Reports > GST Return) and check Table 4: ITC available, reversed and ineligible.

  5. Match with GSTR-2B

Bills in your books but not in 2B: hold the ITC and follow up with the supplier. Bills in 2B but not in books: enter or reject in IMS. Bharat GST Champ does this inside BUSY; the free GSTR-2B matcher works with any software.

Menu names as given in BUSY's own help on busy.in; they can differ slightly by BUSY version, plan and configuration. Take a backup before changing settings.

Monthly ITC routine

  • Before the 14th: IMS actions (accept, reject, pending)
  • After 2B: match books with 2B; list suppliers who have not uploaded bills
  • Remove blocked credit; reverse unpaid over 180 days and the exempt share
  • Claim in 3B only: 2B-matched + eligible - reversals
  • Save the working with the return; you will need it for GSTR-9 and any notice

General information, not legal advice. Section 17(5) and the ITC rules are changed by Finance Acts and notifications from time to time; check the current text, and ask your CA where a purchase is borderline (for example construction, vehicles or employee benefits).

FAQ

What is eligible ITC?

GST paid on purchases used for your business, backed by a tax invoice, received, shown in GSTR-2B, with tax paid by the supplier, and not blocked under section 17(5).

Can I claim ITC on a car?

Not on a motor vehicle for up to 13 persons, or its repair and insurance, unless you sell vehicles, run passenger transport or a driving school. Goods vehicles used for business are allowed.

How do I mark ineligible ITC in BUSY?

Use the ITC Eligibility field in the purchase or expense voucher and pick the ineligible / none option for blocked items; for normal purchases choose Input Goods/Services. Then the GSTR-3B report shows them correctly.

What happens if I do not pay my supplier in 180 days?

Reverse the ITC in GSTR-3B (Rule 37); you can claim it again when you pay. If wrongly used ITC is not reversed, interest at 18% applies.

Can I claim ITC that is not in GSTR-2B?

No. Since 2022 ITC is allowed only for bills shown in GSTR-2B. Ask the supplier to upload the bill and claim it in the month it appears.
